Clinic Voice · Business phone service

The whole phone system, on every plan

Matthew, our CTO, brought Clinic Voice to us with one goal: anybody opening a store or an office should be able to get a real phone system without getting ripped off. So every account comes with auto attendants, call queues, ring groups, and after-hours schedules, and we set them up for you. Your plan only decides what sits on each extension, and you can mix plans across the office. Every price is on this page.

Where a call to your main number goes

An example store. Pick a time of day.

  1. Call to (405) 555-0142 Tuesday, 10:15 am
  2. Schedule: Business hours. Weekdays 9 to 6
  3. The greeting says: “Thanks for calling Main Street Pharmacy. For the pharmacy, press 1. For prescription refills, press 2. For the front store, press 3.”
    • Press 1: Pharmacy counter. All three counter phones ring at once. While callers wait, they hear hold music or your own recorded messages, and if nobody picks up in the time you set, the call goes to the pharmacy’s voicemail.
    • Press 2: Refill line. Callers request their refills there, day or night.
    • Press 3: Front store. The register phone rings.
    • Press 0: Front desk. For anything else.
  1. Call to (405) 555-0142 Tuesday, 1:10 pm
  2. Schedule: Pharmacy lunch. Weekdays 1 to 1:30
  3. The greeting says: “Thanks for calling Main Street Pharmacy. The pharmacy is at lunch until 1:30. For prescription refills, press 2. For the front store, press 3. To leave the pharmacy a message, press 4.”
    • Press 2: Refill line. Still taking refills.
    • Press 3: Front store. The register still rings.
    • Press 4: Pharmacy voicemail. Waiting for the team when lunch is over.
  1. Call to (405) 555-0142 Tuesday, 8:40 pm
  2. Schedule: After hours. Closed until 9 tomorrow
  3. The greeting says: “You’ve reached Main Street Pharmacy after hours. We open at 9 tomorrow morning. For prescription refills, press 2. For the on-call pharmacist, press 9. To leave a message, stay on the line.”
    • Press 2: Refill line. Refills keep coming in overnight.
    • Press 9: On-call pharmacist. Forwarded to their cell phone.
    • If the caller presses nothing: Voicemail. For the team in the morning.
  1. Call to (405) 555-0142 Thanksgiving, 11:00 am
  2. Schedule: Holiday. Thanksgiving Day
  3. The greeting says: “Main Street Pharmacy is closed today for Thanksgiving. For prescription refills, press 2. To leave a message, stay on the line.”
    • Press 2: Refill line. Open on holidays too.
    • If the caller presses nothing: Voicemail. For the team when the store reopens.

An example store, not a real one. We build yours from your answers about hours, greetings, and who picks up what. Option 2 is Clinic Voice IVR, our refill line, which is an add-on.

The phone system is the same for everyone

Auto attendants, queues, routing, and schedules are part of the platform, so you never buy them one at a time. Every account comes with:

  • Main business number with auto attendant
  • Call queues, ring groups, and hunt groups
  • Time-of-day routing and holiday schedules
  • Music on hold, call forwarding, and call waiting
  • e911 service, set up and included
  • Minutes pooled across every extension

An extension is a person or a desk. Up to 10 devices can ring for each one: desk phones, the mobile app, and on Full Chart the desktop and web app. Minutes are pooled across the office, so a busy desk draws from the same pool as a quiet one.

Early access

Your phone system on one screen

We built the Clinic Voice dashboard ourselves, and our first clients are already signed in. You see what’s happening on your phones right now, and how they’re set up.

  • Live calls and queues. Who’s on a call, how many callers are waiting, and which phones are online.
  • Call history. Every call in and out of the office.
  • Voicemail, faxes, and texts. In the same place as your calls.
  • Call flow. Pick any day and time and see where a call to your main number goes, like the example at the top of this page.
  • Your setup. Auto attendants, time frames, call queues, and music on hold, the way they’re built today.
  • Your people. Extensions, the devices on each one, and the office phonebook.

Changing your own settings from the dashboard is what we’re building next. Until then, call us and we’ll make the change.

Pick a plan for each extension

Plans change what sits on an extension. The phone system behind every extension stays the same. Put the back office on The Vitals, and the people who live on the phone on Full Chart or Triage.

Add-ons and account services

How we move you over

You answer some questions and sign one authorization. We do the rest, and nothing moves until every phone has been tested.

  1. Paperwork

    Signatures first

    • Port your numbers Authorize us to move your existing phone and fax numbers to Clinic Voice. A recent phone bill showing the account number and service address. Most carriers also need a porting PIN, usually printed on the bill or available from your current carrier's support line.
    • Phone system build Tell us how calls should ring: hours, greetings, ring groups, voicemail, and who picks up what.
    • 10DLC texting registration Carrier registration so your business texts are delivered instead of filtered. Only if you text patients or customers.
  2. Build

    We provision, you install

    • Network check for phones We confirm your switch has the PoE ports and the VLAN the phones need.
    • Phones ship, desk map confirmed Who sits where, and which extension lands on which desk.
  3. Go live

    Test, cut over, confirm

    • Test call day Every extension and every ring group, tested before anything moves.
    • Port date confirmed with the carrier The carrier gives us a firm date and time for the numbers to move.
    • Cutover and portal logins Numbers move, phones come alive, and someone from us is on the line while it happens.

Already signed up? Every step is on your onboarding checklist.

If you answer to HIPAA

What’s in place before anyone calls

  • A HIPAA environment for every account. Every Clinic Voice account sits in our phone platform’s HIPAA environment, and the business associate agreement you sign with us covers your phone system.
  • Voicemail stays put on HIPAA accounts. Voicemail to email and voicemail transcription are off on HIPAA accounts, so messages wait in the portal and never land in an inbox.
  • e911, set up and included. We register each number’s address for emergency calls as part of setup.
  • Your numbers stay yours. Leave whenever you like and take them with you. The one wait is a carrier rule: a number that has just moved can’t move again for 60 days.
  • No contract. Month to month, with no cancellation fee. Cancel, and service runs to the end of that billing period.
  • You can see who touches your calls. Our phone platform is on our subprocessor list, with exactly what the platform can see.

Questions we get about Clinic Voice

Can we keep our phone numbers?

Yes. You sign a porting authorization, send a recent bill from your current carrier, and we move the numbers for you. The carrier sets the date, usually within a few business days, and your old service keeps working until then. Numbers you bring to us stay yours, with one carrier rule: a number that has just moved can’t move again for 60 days.

Can we mix plans in one office?

Yes. You choose a plan for each extension, so the back office can be on The Vitals while the pharmacist’s extension is on Full Chart. The phone system behind them is the same either way.

What’s the difference between an extension and a device?

An extension is a person or a desk, with its own number inside the office. A device is anything that rings for that extension: a desk phone, the mobile app, or on Full Chart the desktop and web app. Each extension supports up to 10 devices, and an additional device is $9.99 a month.

What phones do you use?

Yealink desk phones. They arrive matched to your desk map: who sits where, and which extension rings on which desk. Every plan also includes the mobile app.

What happens if our internet goes down?

Callers still hear your greeting and can leave a message, because the phone system runs in the cloud, not in your office. Desk phones need your internet connection to ring. The mobile app works anywhere your phone has a signal.

Can we use Clinic Voice under HIPAA?

Yes. Every Clinic Voice account sits in our phone platform’s HIPAA environment, and the business associate agreement you sign with us covers your phone system. On HIPAA accounts, voicemail to email and voicemail transcription are turned off, so messages stay in the portal.

Is there a contract?

No. Clinic Voice is month to month, with no cancellation fee. If you cancel, service runs to the end of that billing period. The 60-day wait on a number that has just moved is the carrier’s rule, not ours.

Can Clinic Voice take our refill calls?

Yes, with Clinic Voice IVR, our refill line, at $99 a month per location. Send a menu option to the refill line, the way the example store at the top of this page does, and callers can request refills around the clock.

Can we send and receive faxes?

Yes. The fax bundle is a fax line, the web fax portal, and FaxRetriever, our desktop fax app, for $19.99 a month.

Can we text from our business number?

Yes, with CloudMessage. Standard covers texting people back, and Pro adds keyword replies and scheduled sends. Texting in bulk or on a schedule needs a yearly carrier registration called 10DLC.
